How to Handle Changes After a Cake Order Is Approved

Use quote versions and a dated approval trail instead of overwriting the original agreement.

Freeze the approved version

Keep the original scope, total, approval time, and notes. Create a new version for changed servings, design, delivery, or date.

Reprice the difference

Recalculate ingredient, packaging, labor, purchased decoration, and scheduling impact. Show what changed instead of replacing the old total without context.

Worked example

Educational example: adding 12 servings costs $18 in base product and 45 minutes at $20 per hour, so the revised scope adds $33 before margin or tax.

Confirm again

Send the revised version, its new total, balance, and deadline for approval. Keep both approvals and do not rely on an ambiguous chat message.
